This policy explains what personal information VO Journey Academy collects, why, who we share it with, how long we keep it, and the choices and rights you have.
We've kept it in plain English. If anything is unclear, email us at apica@avosjourney.com.
Last updated: 27 September 2026
The short version
We collect what we need to run your membership and teach you: your name, email, what you bought, and what you share in class and in the community.
Card and PayPal details go straight to Stripe or PayPal. We never see your full card number.
Monday, Tuesday and Thursday classes are recorded for members. Wednesday Script Workout is never recorded.
We never use you in public marketing unless you sign our separate, optional Marketing Release.
We will never use your voice to train AI or to make a synthetic copy of your voice.
We use Google Analytics and the Meta (Facebook) pixel to see what's working and to measure our ads. On the pages we host, visitors in the UK, EU/EEA and Switzerland are asked first.
We don't sell your personal information.
You can ask to see, correct or delete your information any time: email apica@avosjourney.com.
This summary is here to help. The full policy below is what counts.
1. Who we are
VO Journey Academy is a brand of Anthony Pica Productions, LLC, a Virginia limited liability company ("we", "us"). Our address is 7861 Indian Road, Gloucester, VA 23061, United States. We decide how the personal information in this policy is used, so in UK and EU terms we are its "controller".
Academy Voices, our audiobook company, is a separate business with its own website and its own privacy policy. This policy doesn't cover the Academy Voices site or your narrator work there. If your membership includes Academy Voices access, we give you a code and you sign up on the Academy Voices site yourself. We don't send your details to Academy Voices.
2. What this policy covers
This policy covers avosjourney.com, the membership and member area, courses, live classes, coaching, demo production, webinars and workshops, the VO Journey Discord and Facebook group, our emails, our podcast and YouTube channel, and our partner (affiliate) program. It sits alongside our Terms of Service.
3. What we collect
What you give us
Account and purchases: your name, email address and password (the password is stored by Kajabi, which runs our member area; we can't see it), the plan or product you bought, prices, dates, payment status, any billing details the checkout asks for, and your order history. At checkout we also record that you ticked the box agreeing to our Terms of Service.
Card and PayPal details are collected directly by Stripe or PayPal. We only see limited details, such as the card type and last four digits.
Free sign-ups: your name and email when you ask for our free script packs, the rate guide or its kit, a free class (such as Free Class Week), podcast episode emails, or a webinar or workshop. The rate guide also asks your level, the kind of job you're quoting and the platform, so the emails that follow fit you.
Messages: what you send us by email, through our contact form, in the Discord, in our Facebook group or on social media.
Live classes: your name as shown in Zoom, your video if your camera is on, your voice and reads, and anything you type in the chat.
Community: your Discord username and profile, and the messages, reactions, reads, files, headshots and wins you post.
Coaching and bookings: the details you give when you book a session (such as name, email, time and any notes), and the session itself on Zoom.
Audio and demo work: the reads, auditions, challenge entries, scripts and audio you send us, and your notes for a demo we produce for you.
Pausing, cancelling and feedback: anything you tell us when you pause, cancel or answer a survey.
Spotlights and testimonials: your words, name, photo and wins, when you choose to share them with us.
Partners (affiliates): your name, email, payout details (such as your PayPal email), any tax details we need to pay you, and the sales linked to your partner link.
What we collect automatically
Usage and device data: pages viewed, links clicked, how you arrived (including tags in the link such as ?src= or utm_), approximate location from your IP address, browser, device type and time of visit. See the section on cookies.
Email activity: whether our emails are delivered and opened, and which links are clicked. Kajabi, which sends our emails, tracks this.
Security and delivery: our website runs through Cloudflare, which processes IP addresses and request details to deliver pages and block attacks and bots. Cloudflare also tells us which country a visit comes from, which is how we know whether to show our cookie banner.
Course progress: which lessons and recordings you've watched in the member area.
What we get from others
Stripe and PayPal tell us whether a payment went through, failed or was refunded.
Meta and Google give us reports on how our pages and ads perform. These are mostly totals, not details about you.
If you join through a partner's link, we learn which partner referred you.
Discord shows us the parts of your profile that other server members can see when you join our server.
We don't ask for sensitive information such as health details. Please don't share it in class or in the Discord unless you're comfortable with others seeing it. If you tell us about a health issue when you pause or cancel, we use it only to handle your request.
4. How we use it, and our legal reasons
UK and EU law asks us to name a "lawful basis" for each use. Wherever you live, this list tells you what we do with your information.
Running what you bought: creating your account, taking payment, and giving you classes, recordings, courses, Discord access, coaching, webinars and demo production. Lawful basis: contract.
Service emails: receipts, renewal and price-change notices, class links, and changes to your plan or our policies. Contract; legal obligation.
Recording classes and sharing the recordings with members in the class archive, so people who miss a class can catch up. Contract; legitimate interests.
Marketing emails about classes, offers, webinars and free resources, and tagging your contact by what you signed up for (for example which script pack, or your rate guide answers) so emails are relevant. Consent (you signed up), or legitimate interests for existing customers. You can unsubscribe in one click.
Using your clips, name or photo in public marketing, only if you've signed our optional Marketing Release, and only where you ticked. Consent.
Analytics: seeing which pages and emails work (Google Analytics). Consent in the UK, EU/EEA and Switzerland; legitimate interests elsewhere.
Advertising: measuring whether our ads lead to sign-ups and showing our ads to people who have visited (Meta pixel and Conversions API, Google Ads tag). Consent in the UK, EU/EEA and Switzerland; elsewhere legitimate interests, and you can opt out.
Running the community: our Discord bot's announcements, polls, member checks and spotlight collection (see section 7). Legitimate interests.
Paying partners and preventing referral fraud. Contract; legitimate interests.
Keeping financial and tax records.Legal obligation.
Keeping VO Journey safe: stopping spam and fraud, handling chargebacks and disputes, and enforcing our Terms of Service. Legitimate interests; legal obligation.
We don't make decisions about you by automated means that have legal or similarly significant effects.
5. Class recordings, your voice and AI
What's recorded: right now, Monday, Tuesday and Thursday classes, including video, voice, names and chat. We say so at the start of each recorded class. Wednesday Script Workout is never recorded. Paid webinars and workshops may be recorded too; the sign-up page says so.
Coaching: a one-on-one session is only recorded if you and your coach both agree.
Who sees recordings: members whose plan includes the class archive, our coaches and our team. Webinar replays go to the people who signed up.
You don't have to be on camera. Turn your camera off, change your display name, or use the chat. You can ask us to cut or blur you from an archive recording, and we'll do it within 14 days of your request.
Public marketing: class recordings stay inside the membership. We only use your face, voice, name or reads in public marketing if you sign our optional Marketing Release, and only in the places you tick. You can withdraw at any time.
YouTube lives are public. If you comment in the live chat or join us on screen as a guest, that's part of a public broadcast and its replay.
Your voice and AI: we don't sell your voice recordings. We will never use your voice to train AI or to make a synthetic copy of your voice.
We do use some AI tools to help run the business, for example to transcribe recordings, write captions and help draft posts and emails.
6. Who we share it with
We don't sell your personal information, and we don't let anyone buy access to our lists. We share it only as described here.
Service providers who run parts of VO Journey for us, and may only use your information to provide their service:
Kajabi: website pages, member area, checkout, forms, email and our partner (affiliate) program.
Stripe and PayPal: payments and partner payouts. Each is also responsible for payment data under its own privacy policy.
Cloudflare: hosting most of our website, security, and the sign-up forms on our pages, which pass your name, email and answers straight to Kajabi.
Google: Google Analytics, the Google Ads tag, Google Workspace (our email and calendar), YouTube (videos, lives and embedded players) and Google Fonts on some pages.
Meta: the Facebook/Instagram pixel and Conversions API, for measuring ads, and our Facebook group and pages.
Zoom: live classes, webinars and coaching.
Discord: our community. Discord is also responsible for your Discord account under its own policy.
Calendly: booking coaching sessions.
Google Forms: member surveys. Our surveys don't collect your email address unless the form says so.
WebinarNinja: sign-ups for some of our past webinars.
StreamYard: our live shows.
Buzzsprout: our podcast host, which plays episodes on our podcast page.
Amazon Web Services: storing audio files, such as reads and demo samples.
AI tools that help us run the business (see section 5).
Our accountant, bank, lawyers and insurers when needed.
Our coaches and team see what they need to teach and support you: your name, reads, questions and progress. Coaches see the booking details for your sessions with them. Our coaches are independent contractors.
Other members can see what you share in class, in the Discord or in the Facebook group.
The public sees only what you choose to make public, such as a spotlight, a testimonial, a comment on a public post or live, or a clip you allowed in the Marketing Release.
Partners: if you join through a partner's link, that partner can see details of the sale in Kajabi's partner dashboard, such as the date and the commission earned.
Advertising platforms: when you visit our pages or buy, the Meta pixel and Google tags send details of that visit to Meta and Google (for purchases, Kajabi may also send a scrambled, "hashed", version of your email to Meta). They use this to measure our ads and to show our ads to people like you, and they also use some of it for their own purposes under their own policies. Some US state laws call this "sharing" for targeted advertising. See the section on cookies for how to switch it off.
Legal and safety: if the law requires it, to protect someone's safety, or to enforce our terms.
If the business is sold or merged, your information would pass to the new owner, who must keep honouring this policy. We'd tell you first.
7. The Discord community and our Discord bot
The VO Journey Discord is run on Discord's platform, and Discord's own privacy policy applies to your account there. Members see what you post in the channels they can see.
Our VO Journey bot reads messages in the channels it has been added to. We use it to post announcements, polls and reminders, to spot member wins worth celebrating, to collect spotlight submissions (the headshot and details you choose to send), and to check that people in members-only channels have an active or paused membership. What it reads is saved on our own computer for these purposes only. We don't sell it and we don't use it to train AI. It can't read your direct messages or channels it hasn't been added to.
This section is the bot's privacy policy.
8. International transfers
We're based in the United States, and our providers mainly store data in the US. If you're in the UK, EU or elsewhere, your information is transferred to the US. We rely on the safeguards our providers offer for this, such as the EU-US Data Privacy Framework (and its UK and Swiss extensions) where a provider is certified, or the Standard Contractual Clauses (with the UK Addendum) in their data processing terms. You can ask us about the safeguard for a particular provider.
If you're in Canada, your information may be stored and processed outside Canada, including in the United States, where courts and authorities there may be able to access it.
9. How long we keep it
Account and purchase records: while you're a member, then as long as tax and accounting law requires.
Email contacts: until you unsubscribe or ask us to delete you. If you unsubscribe, we keep a note of that so we don't email you again.
Class recordings: in the members' class archive while it runs. You can ask us to cut or blur you at any time (see section 5).
Discord messages: they stay in the server until you or we delete them. Discord keeps its own copies under its policy. What our bot saves (member checks, drafts and poll results) is deleted after 12 months at the latest.
Audio, uploads and demo files: as long as we need them for what you sent them for, or until you ask us to delete them.
Coaching bookings: as long as we need them to run the session and keep our records.
Partner records: while you're a partner, then as long as tax law requires.
Analytics: Google Analytics keeps detailed visit data for no more than 14 months, then deletes it.
Privacy requests and opt-outs: as long as we need to keep honouring them.
10. Cookies, analytics and ads
Cookies are small files a website stores in your browser. Tags and pixels are small pieces of code that send details of your visit to another company. Here's what we use.
Essential (always on, no choice needed):
voj_cc (VO Journey): remembers your cookie choice, so we don't ask on every page. Kept for 6 months. Only set if you make a choice in our cookie banner.
Kajabi cookies that keep you logged in, run the checkout and remember your cart.
Cloudflare may set security cookies that tell people from bots and block attacks.
Meta pixel (Facebook/Instagram), cookie _fbp, kept up to 90 days, plus Meta's Conversions API, which sends purchase events from our checkout straight to Meta: measures our ads and shows them to people who've visited. Meta's explanation: www.facebook.com/privacy/policies/cookies/.
Google Ads tag (AW-376953475), cookie _gcl_au, kept up to 90 days: measures whether our Google ads lead to sign-ups.
Third parties, including Meta and Google, may use cookies, web beacons and similar technologies to collect or receive information from our website and elsewhere on the internet, and use it to measure and target ads. You can opt out of interest-based ads from many companies at www.aboutads.info/choices and, in Europe, www.youronlinechoices.eu.
Content from other companies: some pages play audio and video from Buzzsprout, Amazon Web Services and YouTube (in its privacy-enhanced mode), and load fonts from Google Fonts. Those companies receive your IP address when the content loads.
Your choices
UK, EU/EEA and Switzerland: on the pages we host, Google Analytics, the Meta pixel and the Google Ads tag stay off until you choose Accept in our cookie banner. Reject keeps them off. Both buttons are the same size, and saying no doesn't change anything else on the site. You can change your mind any time with the Cookie settings link at the bottom of our pages.
Global Privacy Control: if your browser sends a Global Privacy Control (GPC) signal, the pages we host treat it as an opt-out of advertising: the Meta pixel doesn't load and the Google Ads tag isn't allowed to use advertising cookies, wherever you are. Google Analytics still counts the visit, unless you're in the UK, EU/EEA or Switzerland and haven't accepted.
Our checkout and member area are run by Kajabi, which loads Google Analytics (including Kajabi's own), the Meta pixel and its own performance tools when those pages open. They don't show our cookie banner or read GPC yet. You can still block these with your browser settings or the tools below, or email us and we'll help.
Everyone: you can block or delete cookies in your browser settings, use Google's opt-out add-on, and change your ad settings in your Facebook, Instagram and Google accounts.
We don't respond to the older "Do Not Track" signal, because there's no agreed standard for it.
11. Emails
Service emails (receipts, renewal reminders, price-change notices, class links and account notices) are part of your membership, and you'll get them while you're a member.
Marketing emails each have an unsubscribe link, and unsubscribing takes effect straight away in our email system. Unsubscribing doesn't cancel your membership.
If you're in Canada, the UK or the EU, we only send you marketing emails if you signed up for them, or you're a customer and we're telling you about similar things. You can opt out any time.
12. Your rights and choices
Wherever you live, you can ask us to:
tell you what personal information we hold about you, and give you a copy;
correct anything that's wrong;
delete your information (we'll keep only what the law makes us keep, such as tax records);
stop sending you marketing emails;
stop using your clips, name or photo in anything new, under the Marketing Release.
UK, EU/EEA and Switzerland: you also have the right to restrict how we use your information, to object to uses based on legitimate interests (we'll always stop for marketing), to get your information in a portable format, and to withdraw consent at any time (this doesn't affect what we did before). You can complain to your data protection authority: in the UK the Information Commissioner's Office (ico.org.uk), in the EU your local authority (list of EU authorities), in Switzerland the FDPIC. We'd appreciate the chance to put things right first.
California and other US states: state privacy laws (such as California's, Virginia's and Colorado's) give residents rights to know, correct and delete their information and to opt out of its "sale" or "sharing" for targeted advertising. Most of these laws apply only to much larger businesses than ours, but we offer the same rights to everyone. We don't sell personal information for money. The Meta pixel and Google Ads tag described in the section on cookies may count as "sharing" for targeted advertising. To opt out, turn on Global Privacy Control in your browser, or email us. We don't knowingly sell or share the information of anyone under 16.
How to ask: email apica@avosjourney.com with the subject "Privacy request". We'll reply within 30 days, usually much sooner. We may ask you to confirm it's you, usually by replying from the email on your account. You can ask someone to make a request for you, and we may check they have your permission. We won't treat you differently for using your rights.
Deleting your account: cancelling your membership doesn't delete your account. Email us and we'll delete it, including your contact record in Kajabi. Stripe and PayPal keep their own payment records under their legal duties. You can delete your own Discord posts, or ask us to.
13. Children
VO Journey is for adults. You must be 18 or older to create an account, buy anything, join a live class or join the Discord (see our Terms of Service). We don't knowingly collect personal information from anyone under 18, and never from children under 13. If you think a child has given us information, email us and we'll delete it.
14. Security
We use established providers to run VO Journey, and payment details are handled by Stripe and PayPal, not stored by us. Access to member information is limited to the people who need it. No system is perfectly secure. If a breach affects your information, we'll tell you and the authorities as the law requires.
15. Links, social media and affiliate links
Our site links to other sites, such as YouTube, Instagram, TikTok, LinkedIn, Facebook, Discord, Amazon and Sweetwater. Their privacy policies apply there. When you comment on or message our social media pages, the platform's policy applies and the platform shares that with us.
Some links on our site are affiliate links: we may earn a commission if you buy, at no extra cost to you. The store may use cookies to know the sale came from us. Details are on our Affiliate Disclosure page.
16. Changes to this policy
We'll update this policy when what we do changes. The date at the top shows the latest version. If we make a significant change, we'll tell members by email or with a notice on the site before it takes effect.
